Job Summary
Under the guidance of the Manager, Director, or senior leadership, the Project Manager is responsible for assessing user needs, setting project priorities, and planning, directing, and monitoring all project activities. This role supports Information Systems business planning functions—including budgeting, scheduling, and workload planning—while maintaining project issues and providing regular updates to IS leadership and steering committees on critical-path progress and key accomplishments.
Drawing on experience and sound judgment, the Project Manager evaluates user requirements, estimates and schedules project tasks and related costs, and coordinates activities across analysis, design, and development. The role ensures all system changes undergo comprehensive testing, users receive proper training and preparation, all procedural and guideline requirements are met, and implementations are executed smoothly and successfully.
Major Job Responsibilities
- Apply PMO methodologies and standardized processes to effectively lead and manage projects from initiation to completion.
- Develop and manage project scope, resource plans, and budgets.
- Lead multiple large-scale projects simultaneously, while mentoring and overseeing work performed by junior project managers.
- Analyze and interpret business requirements, vendor statements of work, and other documentation to clearly define project deliverables and artifacts.
- Manage multiple projects while maintaining high-quality standards for deliverables, implementation, and overall customer experience.
- Lead complex, enterprise-level projects with minimal supervision, coordinating multiple ministries/locations and engaging appropriate leadership, resources, vendors, and stakeholders to support successful project kickoff and execution.
- Senior Project Managers oversee multiple concurrent enterprise projects while upholding PPMO processes and ensuring top-tier quality.
- Provide guidance and oversight to Project Coordinators, PM I, and PM II team members, ensuring successful delivery of the projects they support.
- Ensure full compliance with PPMO processes, including proper creation, storage, and maintenance of all project documentation in approved repositories.
- Maintain complete and audit-ready project documentation in alignment with internal and external audit requirements.
- Create and manage key project artifacts, including Project Charters, Project Plans, Budget Trackers, RACIs, weekly status reports, Steering Committee materials, GLRA documentation, and Change Management deliverables.
- Establish critical-path milestones and provide regular progress updates to executive leadership.
- Develop a detailed project plan before entering the implementation phase and actively track progress against that plan; managing projects without a project plan is not acceptable.
- Identify dependencies and risks early, collaborate with stakeholders to develop mitigation strategies, and continuously monitor and report on risk status.
- Adhere to all PPMO departmental policies, procedures, and documentation standards, maintaining meticulous records for audit readiness.
- Facilitate planning and design sessions to define project scope, exclusions, and design requirements with clarity.
Training & Documentation Responsibilities
- Collaborate with IS Training teams and vendors to ensure development and maintenance of system, user, and operational documentation.
- Translate business requirements into clear and effective user documentation.
- Plan, write, and support end-user documentation efforts, including online help resources.
- Ensure all users are properly trained in system functionality and related business processes.
- Verify user competency prior to system go-live or major system updates.
- Ensure super-users and support resources are appropriately assigned and trained for go-live, with documented succession plans to maintain ongoing support capability across facilities and departments impacted by new or upgraded systems.
- Experience working within a large, multi-hospital health system is preferred.
- Clinical project implementation and project management experience is required; experience with Epic or Meditech is strongly preferred.
- Prior experience managing projects with small to medium scope and complexity.
- Minimum of six years of experience working on information technology project teams, including gathering customer requirements and performing analytical activities.
- A background in clinical education is preferred.
